Compare venues/sites

A challenge for event organisers is to be able to distinguish between multiple venues which offer similar facilities and services, in order to select the best venue for the client and the event. Prepare a tool — a competitive analysis matrix — which will help you to analyse venue features and event needs in detail to ensure you make the right venue choice.

 
Activity two

Review venue/site terms

Reviewing and negotiating the terms and conditions of venue hire is a way to maximise the potential of your chosen venue to meet the event or audience needs. Review contractual agreements for venue hire to identify additional terms and conditions your event needs.

 
Activity three

Identify site approval requirements

A critical part of confirming your chosen venue or site will be ensuring you can comply with regulatory and other approvals, including council requirements, as well as ensuring risks associated with the site can be managed. These can be particularly challenging for unique or one-off events located in unusual places. Identify the approval requirements for a 'laneway' music event and assess your chosen location based on the approvals you'll need.

 
Activity four

Recommend venues and sites

Once suitable venues have been identified, you must be able to provide recommendations and a rationale on venue or site options to your client. Identify a set of suitable venues or sites for a jazz festival requiring multiple venues within a city location. Include recommendations and a rationale for your choices to gain client approval.
